Count and close a drawer

How a manager opens a cash drawer for the day, passes it between staff, and counts it at the end. All of it happens on one screen: Operations, then the Shift & Cash Control tab.

Pick the right date first

The screen shows only the shifts and drawers from the Business date at the top, and it opens on today's date.

A drawer opened on an earlier day does not appear until you choose that day. If you expect a drawer to be open and the Drawers list says there is nothing to show, change the Business date to the day the drawer was opened.

Open a drawer

  1. Select Open drawer, at the top right of the screen.
  2. Enter a Drawer number, a Drawer name staff will recognise, such as "Front counter", and the Opening float — the cash the drawer starts with.
  3. Select Open drawer to confirm.

The window says you will be the drawer's holder by default, and that to give it to someone else you use Hand over once a shift is claimed on it.

Give the drawer to someone, or hand it over

Each drawer has its own row under Drawers, showing its status, name, opening float and who is holding it.

  • Assign holder sets who has the drawer.
  • Hand over passes it from the person holding it to the next person, with a count. Enter who takes over in Hand over to (user ID), then count the drawer and enter what you find, and select Confirm hand over.

The count is labelled "Blind count — declared amounts only": you enter what is actually in the drawer, and the window does not show a figure to compare against.

You enter four amounts separately — Declared cash, Declared card, Declared online / UPI and Declared on account — so the count records what kind of money it was as well as how much.

Count the drawer at the end of the day

  1. On the drawer's row, select Close.
  2. Count what is in the drawer and enter the four amounts.
  3. Select Submit count.

The Close drawer window says the count moves the drawer to Declared, pending a manager's review and that the drawer does not close on its own.

Review a count

A drawer whose count is waiting shows the status Declared — pending review. Its row offers:

  • Accept, when the count is right.
  • Ask to recount, when something looks wrong.

Force-close

Every drawer that is not already closed also shows Force-close, a separate control from Close. Close is the one that takes the end-of-day count described above.
