Take payment for a bill¶
Quick answer¶
Open the order ▸ Take payment ▸ choose how they are paying ▸ enter the amount ▸ Take the amount shown. The bill then reads Paid in full.
What you'll accomplish¶
The sale and its payment are both recorded against that bill.
Who can do this¶
Cashiers and managers.
Before you begin¶
Know how they are paying. The methods offered are Cash, Card, UPI and Split for a payment made partly one way and partly another. You pick before entering an amount.
Have the bill in front of you. The button carries the amount owed, so you are confirming a number you can see rather than one you remember.
Steps¶
- Open the order you are settling.
- Select Take payment. The control shows the amount due.
- Choose how the customer is paying.
- Enter the amount. Taking cash, there is a Cash tendered field for what the customer actually handed over, and the screen shows the change to return.
- Select the Take button, which carries the amount being taken.
Expected result: the bill shows Paid in full. The sale and the payment are recorded together, so nothing further is needed to close that order out.
Things to know¶
Tax appears on the bill as two lines, not one. GST is held as a state half and a central half, so a bill shows CGST and SGST separately. That is normal and is not the bill being charged twice. See GST and tax settings.
"Paid in full" is how a settled bill reads. If you do not see it, do not assume the payment failed and do not take it again — a display can lag, or a screen can fail to refresh, while the payment is perfectly well recorded. Check what the bill already records, and involve a manager before repeating anything.
If something goes wrong¶
A card was charged but the bill does not say Paid in full. The card machine and KJB are separate systems, so this can mean either that KJB did not record it or that it did and the screen has not caught up. Do not charge the card again and do not enter a second payment. Look at what the bill already records, and get a manager — sorting out a double charge afterwards is far worse than a minute's delay.
The amount due is not what you expected. Check the order itself before taking payment. Once payment is recorded the bill is settled, and unpicking that is a manager's job.
